Considerations

- whose photos really need to be there? Is there benefit to having the whole committee or audience's photos present?
- audio vs. chat vs. alternative such as phone lines (adobe connect); sometimes with adobe connect, audio is built-in (Iowa), other times it is
external (PA) - When using audio - only the person speaking should have their microphone on - all others should be off or muted
- warn participants to avoid surfing, turn off email and other band width shrinkers during the meeting especially when band width is limited
- The host/presenter needs distance education skills to:
- encourage audience interaction
- be sure questions are repeated
- establish ground rules or lay framework for the session
- encourage questions
- make sure equipment is working and everyone is seeing/hearing the same thing
- use polls/emoticons/other things to keep everyone involved
Meeting management varies by meeting purpose and objective
- Committee meetings
- Need audio but video may be optional
- Allows for sharing of information (text, websites, etc.) or demonstration of applications while meeting - develop meeting minute on the fly
- Save phone costs
- Provide good group input in planning
- Educational presentations
- Presenter needs audio/most cases also has video, but not necessary
- Participants can interact via planned activities such as polls/white boards
- Participants have canned symbols that can be used to indicate pleasure or displeasure, speed of presentation, etc.
- Questions and answers or discussion can be addressed using a chat feature
- Option to see who is participating
- Can be recorded for future use
- Recommend facilitator be used in addition to speaker to assist in monitoring chat/etc.
- Can incorporate both a canned training (created in Adobe Presenter) with live presentations
